Meeting minutes 9/22/17

Welcome:
Please have families sign up for the FTO emails. Please send an email to CoyoteWillowfto@gmail.com to be added to the list. Also mention the FB private group “Coyote Willow Family Club”.  FTO also has a website: coyotewillowfto.org.
Attention Classroom Representatives:
You are probably asking what information should be passed on to your parents in your classes? The agenda and meeting minutes show areas that are “grayed” out.  These are important topics to cover with you class parents.  When you are presenting to your classes during your monthly meeting, please keep it short and just give the highlights.
For classes that have their monthly meetings just before we have our FTO meetings, please email your parents so they get this information as soon as possible!
Budget:
We have received $1390.00. We have asked families to give $40.00 per student if possible. We are about $3700 short of breaking even for our budget.  Please encourage your parents to give as they can.  We would like to avoid fundraisers, etc.  This is a really easy way of being able to take care of teacher, student and faculty needs with minimal efforts J
Art and Poetry night: there is a suggested donation of $10.00 per family. FTO has bought and will be distributing black fabric to the teachers for that evening.  Teachers will have other items that will need to be covered and we don’t want them to spend a bunch out of pocket.  Keep in mind this is the first year for A&P night so teachers are starting with nothing. 
Smencils: The FTO would like to sell these during the used book sale. We can get 500 for $285.00.  Monnie Bigger motioned to make this purchase.  Leigh Anne Montano Seconded the motion.  Motion was approved by all.
Fundraisers:
Box Tops: This is free money to our school. Please bring in all Box Tops.  Our first submission deadline is November 1.  Box Tops do expire!  We want to take advantage of this opportunity as best we can.  Download the Bonus Box Tops app.  You will just scan receipts and get extra Box Tops for our school!
All of the teacher apples that we had on the bulletin board have been taken care of.
$40.00 donations: Please know the importance of this money to support your teachers, staff, and students!
Open House:
October 5, 2017 at 6 PM.
FTO will host a table with information so we need a few volunteers
UsedBook Sale & Tummy Ticklers:
Friday, October 20th: 8 am – 1pm. Please invite everyone you know!
Gale and Pamela are in charge of the event. Pamela reports sending out the flyers to the Classroom Reps last night.  Please make sure your parents get these and they pass them out far and wide! 
Book donations. Gale and Pamela have said that if you have donations, they will gladly take then whenever you are ready.  They will store them until after the open house. 
Volunteers are needed to come the day before to set up; then we’ll need volunteers for the sale day and clean up afterwards.
Tummy Ticklers: FTO will be selling treats from 12:15 – 1:00 that same day. Doug and Ms. Vanessa’s class is responsible for the treats this time.  Class Reps: Please have your parents in these classes donate 1 dozen items that are individually wrapped and can be sold easily for $1.00.  Donuts, pizza, cookies, brownies, etc.  Nothing with nuts, please.  Also try to have a few gluten free and vegan items if you can. 
Field Trip:
Monday, October 23, 2017 at 9am. This is NOT a school-sponsored event.
We will meet at Galloping Grace Youth Ranch Pumpkin patch.
Fliers to be returned will be going out soon. It will be $7.00 for kids.  This includes a pumpkin and a cup of goat feed.  Adults will be $3.00.  Please bring siblings if you want.  All forms and monies will need to be turned in to Jessica Holtey so you are able to attend the field trip. 
Picture Day:
Friday, October 27, 2017 in the AM. We will be using the multipurpose room.  These will be Class and individual pictures.  Re-Takes will be December 1, 2017. 
Art & Poetry:
Joni is our event coordinator! Yay!  Each classroom needs a coordinator to help their teacher with whatever needs they have for their classroom.  More information to follow
T-Shirt Sales:
Order Forms will go home with kids on Tuesday of next week.
This is a pre-pay order form. Order what you would like from the form, enclose monies and then return form and monies to the FTO book in the workroom next to front office. 
Due Date for orders: October 20th.
Landscape:
Rutyana Avila is our coordinator. We don’t have anything planned yet but if you know of places that would donate plants, trees, etc we have LOTS of needs. 
Gathering of the Gardens – School Garden Summit put on by APS. Go to aps.edu and search for Gathering of the gardens, if you are interested.
